Division Overview

AUGSD, Academic - Undergraduate Studies Division, serves as the central node for all the academic activities of First-Degree students at BITS Pilani. The office of AUGS is responsible for all matters related to admissions, curriculum design, timetable and examinations, registration, counselling, academic performance and graduation of first degree (undergraduate) programs.

Responsibility

The main responsibilities of AUGS Division are as follows:

  • Designing of new FD Programs and courses, implementation and strengthening existing FD programs, Pedagogic Practices at FD level through Academic Programs Committee, Departmental Committee of Academics (DCA), Academic Governing Council (AGC) at FD level etc., Bulletin updates with regard to FD Programs
  • Registration Planning and Operations
  • Academic Records of Students, Transcripts, Provisional Certificates
  • Academic Counselling, & ACB Matters for FD Students
  • Grades & Results Processing for FD Courses
  • Eligibility Criteria and preparation of base charts of UG and dual degree students
  • Project Courses Allotment
  • FD TAs Allotment
  • FD Thesis Monitoring
  • Preparation of Transcripts, Provisional Certificates, Final Degrees for FD Students
  • Teaching Load Allocation and course offering at UG level
  • Timetable, Examination Scheduling

Roles / Responsibilities

The Undergraduate Academic Affairs unit at BITS Pilani oversees all academic issues regarding First-Degree (Undergraduate) students. It has a vast range of duties, beginning from the admission processes of different undergraduate courses, such as Single Degree, Dual Degree, Minor, and Vertical Transfer programs. There is a significant emphasis on providing a hassle-free and transparent admission process, intending to admit worthy and diverse talent into the Institute.

This division is responsible for planning and revising undergraduate programs and courses with input from academic committees. It makes sure that the curriculum is modern, industry-oriented, and consistent with international educational standards. The office is also responsible for organizing and implementing academic events like course registration, faculty teaching load preparation, and resource allocation. Timetable and examination scheduling, as well as classroom booking and seating plans, are planned out with precision to facilitate effective academic delivery.

Additionally, the division deals with student grades, exam results, and cases of academic misconduct or dishonesty. It maintains and releases academic records like transcripts, provisional certificates, and degree documents. Another important function is managing the academic counselling and monitoring of students' performance and dealing with the affairs of the Academic Counseling Board (ACB), which advises students in academic difficulties.

The office also oversees project and thesis assignments for final-year undergraduate students, along with coordinating teaching assistantships. It gives particular importance to gathering and evaluating student feedback, coordinating closely with student-faculty councils to ensure the quality of education. Coordination with the Office of Admissions and other academic departments guarantees smooth coordination, facilitating easy academic functioning and ongoing improvement of the undergraduate academic experience.
